We started the way every agency starts. We ran the ads, the leads came in, and we handed them over. A CRM if the clinic had one. A Google Sheet if it didn't.
Then we watched what happened to them.
A lead that came in at 7pm got called at 9am. A lead that came in Friday got called Monday.
Not because the front desk didn't care, but because they were between patients, on the phone, checking someone in. Nobody can treat patients and chase cold leads in the same hour.
So we tried to fix it from the outside. Training for the front desk. Scripts written specifically for ad leads, because someone who clicked an ad is a different conversation than someone who called the clinic ready to book. It helped. It wasn't enough.
The honest conclusion was that speed to lead isn't something you can coach into a busy front desk. It has to be someone's only job. So we brought it in house. Our own team, trained on your clinic, calling every lead while they are still holding their phone.
And we didn't stop at the booking either. A booked patient who never shows is not a result. So we built the rest: the reminders, the confirmations, the day before call, the no show recovery. Every gap we found between the click and the front door, we closed.
That is the difference between us and an agency. They optimize the lead. We optimize the whole path, end to end, with no leakage in it.
